Roles create a hierarchy of viewing permissions, so people higher up can see records owned by people below them.

How roles work
Roles only take effect once organization-wide sharing is set to private. At that point, roles higher in the hierarchy can view items owned by or assigned to roles beneath them.
People in the same role won’t see each other’s records unless a sharing rule is added to cut across the barrier between them. Because of this, they may create duplicate records. The individuals won’t see the duplicates, but their managers and Insightly administrators will.
Roles affect every view of a user’s records. A user can only send mass email, create reports, or export data for records they have permission to see.
Editing and moving a role
Editing a role changes its name or its position in the reporting structure. Go to System Settings > Permissions and select the Roles tab. Click the Edit link next to the role you’d like to change.
To rename the role, type a new name. To move the role under a different reporting role, click the dropdown list and select another role, then click Save.
⚠️ When you change a role’s reporting structure, the current role and every role that reports up to it move together.
Deleting
⚠️ Role and profile deletions are permanent. See Profiles for the deletion procedure, which covers both.
