Copilot lets users work with CRM data conversationally rather than through navigation and filtering.
What Copilot can do
Copilot works across several areas of your CRM data:
- Smarter contact management: retrieve and summarize contact information, communication history, and linked records from a simple query, surfacing details like last touchpoints and key decision-makers.
- Intelligent communication support: generate customized emails, follow-up suggestions, and outreach templates tailored to a contact’s history, preferences, and relationship stage.
- Search and analyze in seconds: ask natural-language questions like “Which opportunities are expected to close this quarter?” and get answers without exporting data or building reports.
- Conversational record management: create and update contacts, leads, opportunities, and tasks using plain English, with Copilot handling data structure, validation, and linking.
Example prompts include “What opportunities should we look at next?”, “Which contacts have gone inactive in the last 60 days?”, “Show me all contacts missing email addresses”, “Are there any duplicate leads or accounts?”, and “Summarize our current lead pipeline for the leadership team.”
Enabling Copilot (admins)
- Sign in as a System Administrator and go to System Settings > Product Settings > AI Features > COPILOT.
- Check the Copilot box to enable it. A confirmation dialog appears. Click Enable Copilot to proceed. Copilot can be disabled again from the same page at any time.
Per-user access is managed separately: System Settings > Platform Tools > Copilot, under Copilot User Settings, lets an admin enable or disable Copilot for individual users.
Security and compliance
Built on the same security foundation as Insightly CRM: CCPA and SOC 2 Type II compliant infrastructure, data encrypted in transit (TLS 1.2+) and at rest (AES-256), and role-based access. Copilot only sees what the signed-in user can see. It does not use customer data to train its models.
⚠️ Copilot itself is not HIPAA compliant. If you store Protected Health Information in Insightly, avoid storing or querying it through Copilot unless you’ve reviewed your regulatory obligations. Copilot may process that data.
Chat features
ℹ️ Browser support. Copilot works best in the latest versions of Chrome or Edge.
Open the chat via the Copilot button in the top-right, or the ✨ badge next to your profile icon. Type a question, or use a quick-start chip like Summarize a Lead or Generate an outreach email. If a request would create, update, or change a record, Copilot asks for confirmation before making the change.
Responses can be rated with thumbs up/down; a thumbs-down opens a dialog to select a reason or leave a comment.
An ongoing prompt can be cancelled immediately after submitting via the Cancel button. The three-dot menu manages multiple conversations: start a new chat, see all chats, delete a conversation, or search past ones by keyword. The expand icon widens the chat across the screen, showing the full chat history alongside the current conversation.
To clear chat history, open See all chats from the three-dot menu, select the chat, choose Delete, then confirm on the dialog that follows.

Usage limits and auto-stop
Copilot includes monthly query limits by plan, shared across all users on the account as one pool (queries per seat × number of seats). The pool resets on the 1st of each month at midnight in the account’s default timezone; usage is tracked at System Settings > Copilot.
⚠️ Verify these numbers before publishing: pricing and plan limits are exactly the kind of detail most likely to have changed since this was scraped.
At scrape time: Professional included 75 queries per seat/month, Enterprise 100 per seat/month, Plus didn’t include Copilot at all, and trials included 75 queries total for the trial period.
When the account hits its limit, Copilot becomes unavailable until the pool resets or Auto-Stop Protection is enabled (paid plans only). This automatically purchases more queries so the team isn’t interrupted, at $19 per 100 queries, billed to the account via Stripe with an invoice each time.
Auto-Stop Protection is enabled at System Settings > Platform Tools > Copilot by toggling Auto-Stop Protection ON. When the account reaches 100% usage, the system automatically charges $19 and adds 100 queries to the pool.
If the automatic charge fails, the system retries when the account reaches 103% of its base allocation. If that retry also fails, Copilot pauses at 105% usage until the next billing cycle. A 5% courtesy buffer if payment processing fails.
Admins can opt users in to email alerts when the account reaches 90% of its monthly limit: at System Settings > Platform Tools > Copilot, choose Enable For Specific CRM Users and check Auto-Stop Notifications for each user. If no users opt in, alerts are sent to the billing owner.
Trial accounts behave differently: 75 total queries for the entire trial regardless of user count or plan selected, no Auto-Stop Protection, and a hard stop at exactly 75 queries with no courtesy buffer. At the limit, trial users see “Your organization has reached its monthly Copilot usage limit. To avoid interruption, please upgrade to a paid plan.” After converting to a paid plan, the account receives the standard allocation based on plan and seat count, Auto-Stop Protection becomes available to admins, and queries reset according to the billing cycle.
When the limit is reached on a paid plan, non-admin users see a “Contact your admin” message and admins are prompted to review Copilot settings.
